Position: HMP/143 – Administrative Assistant/Document
Controller
Location: Farnborough, Hampshire
Role: We are seeking a flexible person to provide assistance
to the Business Support team, Monday to Friday, mainly based
in our unit at B12, with some elements to cover both units
at our Farnborough office.
Hours will be between 09.00 and 5.30 p.m.
A variety of duties will include:-
v Maintenance of on-line document control systems, e.g. Hummingbird,
BIW (knowledge of these, or similar, systems would be an advantage,
however full training will be given)
v Project filing, (hard-copy and electronic)
v Document preparation and binding
v Preparation and processing of outgoing post (one afternoon
per week)
v Support to Group secretarial staff with word processing
of reports, letter, specifications and fee proposals
v Database entry, i.e. timesheets, expenses, contact information
v Holiday/sickness/workload cover for front office reception
duties.
Skills and Experience:
The ideal candidate will possess the following skills and
attributes:
O Reasonable level of physical fitness (some moving and lifting
of filing and archiving boxes in filing/archiving racks)
O General computer skills, specifically with Word, Outlook
and database input. (knowledge of Excel and PowerPoint would
be an advantage, also see document control systems above)
O Strong team player
O Excellent organisational skills
O Flexible approach
O Excellent telephone manner
